Privacy Policy
Last updated 9 October 2026
This policy explains what information voca9 (“voca9”, “we”) collects when you use the voca9 apps and website at voca9.com, how we use it, and the choices you have. We keep it short and specific.
What we collect
- Account information. Your email address and name. If you sign in with Google, we receive your Google account's name, email address and profile picture. We do not receive your Google password or access to your Gmail, contacts, calendar or files.
- Your content. The tasks, projects, notes, comments, labels, goals, settings and files you create or upload, and things you ask the assistant to remember.
- Voice. When you use voice capture, your audio is sent to our speech-to-text provider to turn it into text. We do not store your recordings.
- Technical information. Basic server logs (such as time, IP address and the request made) to run and secure the service, and, if you allow notifications, a device token to send them.
- Error reports. When something goes wrong in the app or on our servers, we record a technical error report: the error, where in the code it happened, the app version, device and operating system, and the kind of request (for example “upload a file”, with the status code). Error reports never include your tasks, notes, file names, transcripts or other content, and are not linked to your name or email address.
- Purchases. If you subscribe, the app store or payment processor handles payment. We receive your subscription status, not your card details.
How we use it
- To provide voca9: store and sync your tasks between your devices, send reminders you set, and run the features you use.
- To understand what you say or type when you use voice or AI features (see below).
- To keep the service secure, prevent abuse and fix problems.
- To contact you about your account or important changes.
We do not sell your information, use it for advertising, or send your task content or transcripts to analytics services.
AI and voice processing
When you use voice, the audio is streamed to Deepgram to be transcribed. We ask Deepgram not to use it to improve their models, and we don't keep the audio. When you use AI features, the text you said or typed and the task details needed to answer (such as titles, dates, priorities and project names) are sent to Anthropic's Claude through OpenRouter. These providers process it to return a result to you. You can use voca9 without voice or AI features.
Who we share it with
We share information only with service providers that help us run voca9, and only what they need:
- Clerk — sign-in and account security
- Deepgram — speech to text
- OpenRouter and Anthropic — AI features
- Backblaze — storage for files you attach
- Sentry — error reports, to find and fix problems
- Vercel and our hosting provider — running the website and servers
- RevenueCat, Apple, Google and Stripe — subscriptions, if you buy one
- Expo — delivering notifications to your device
People you share a project or space with can see its contents. We may also disclose information if required by law or to protect the rights and safety of our users.
Google user data
If you sign in with Google, voca9 uses only your basic profile (name, email address and profile picture) to create and identify your account. voca9's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, sell it, or use it to train AI models.
Keeping and deleting your data
We keep your content while you have an account. Items you delete go to Trash and are permanently removed after 30 days. You can export your data at any time, and you can delete your account in Settings → Delete account, which permanently deletes your tasks, files and account.
Security
Data is encrypted in transit (HTTPS). Access to your data is limited to your account and the people you share with, and every request is checked against your permissions.
Your choices and rights
You can view, edit, export and delete your content in the app at any time. Depending on where you live, you may have rights to access, correct, delete or port your personal information, or to object to its processing. To use them, email support@voca9.com.
Children
voca9 is not directed to children under 13, and we do not knowingly collect their information.
Changes
If we change this policy, we'll update the date above and, for significant changes, tell you in the app or by email.
